Introduction to the Appointments Page

The Appointments page is where you manage all appointments booked by your AI Agent, configure your availability, integrate your calendar, and white-label your confirmation emails.

1. Navigation

  1. From the top-left dropdown, select the desired Business.

  2. In the left sidebar menu, click on Appointments.

1. Appointment Views

The Appointments page offers two main views for tracking your booked appointments:

  • Calendar View: Displays a monthly calendar with all appointments booked by your AI Agent. This provides a visual overview of your schedule.

  • List View: Displays a detailed list of all appointments, including the contact name, scheduled date and time, source (e.g., AGENT KONG), status (e.g., Booked), phone number, and creation date.

Note: This section only displays appointments booked by your AI Agent, not manually booked appointments.

2. Settings

Click the Settings tab to configure your calendar and email preferences for the booking system.

2.1) Integrations (Calendar Integration)

This section allows you to connect your external calendar to AgentKong to manage availability and automatically sync appointments.

Google Calendar Integration

This is the platform's native calendar integration, which allows you to bypass other third-party schedulers.

  1. Click the Connect Google Calendar button.

  2. A Google Sign-in screen will appear. Choose the Google account you wish to connect.

  3. Review the access permissions (AdKong requests permission to view, edit, share, and permanently delete events on your calendars).

  4. Click Allow to complete the connection.

Once connected:

  • Appointments booked in AgentKong will sync to your Google Calendar automatically.

  • Changes (create, update, or cancel) in AgentKong will be reflected in your Google Calendar.

  • An event link will be saved for each appointment.

  • The connection status will show as Calendar Connected.

Note: The Integrations tab under Settings in the main sidebar displays all available third-party integrations, including Calendly (coming soon), which you can use as an alternative to native calendar integration if desired.

2.2) Email Settings (White Label Email)

This section allows you to white-label the email address used to send appointment confirmation emails to your customers, replacing the default AgentKong email.

  1. Enter your Domain Name (e.g., example.com).

  2. Enter the Sender Email that will appear as the sender (e.g., [email protected]).

  3. (Optional) Enter a Sender Name (e.g., Your Business Name).

  4. Click Add Domain.

  5. DNS Records Required: The system will display a list of DNS records (typically CNAME and TXT) that you must add to your domain's DNS settings via your domain provider (e.g., Cloudflare, GoDaddy).

    • Instructions on where to add these records are provided below the records list.

  6. Click Verify Setup once the records have been added to your DNS.

    • Note: DNS changes may take up to 48 hours to propagate and verify.

    • If the domain is not authenticated, confirmation emails will default to being sent from [email protected].

2.3) Schedule (Weekly Availability)

This section defines the weekly schedule during which your AI Agent is allowed to book appointments.

  1. Toggle the switch next to each day (Monday through Sunday) to turn your availability ON or OFF for that day.

  2. For each active day, use the dropdown menus to set the Start Time and End Time.

  3. Add/Remove Time Slots: Click the + button to add multiple, non-consecutive time blocks within a single day (e.g., 9:00 AM – 1:00 PM and 2:00 PM – 5:00 PM). Click the trash can icon to remove a time slot.

  4. Copy Schedule: Use the Copy icon next to a time slot to copy that schedule to all other days.

  5. Timezone: Select your desired Timezone from the dropdown menu.

  6. Slot Duration (minutes): Enter the duration in minutes for each appointment slot (e.g., 30, 60, 90). The allowed range is 15–240 minutes.

  7. Click Save Changes.

3. Setting up Booking in the AI Agent Workflow

Once your calendar and schedule are configured, you can use the Booking node in your AI Agent workflow.

  1. Add a Booking node to your agent's workflow.

  2. Booking System: In the node's settings, you can select your preferred booking system:

    • GHL (GoHighLevel): If you are integrated with GoHighLevel via the main Settings page, you can select a specific calendar from your GHL account.

    • Google: If you have connected your Google Calendar via the Appointments Settings page, the system will automatically use the connected calendar and your defined weekly schedule.

  3. Configure optional settings: Confirm Timezone, Save Contact Timezone, and Skip Confirmation.

  4. The Agent will now offer appointment slots based on your availability and the chosen calendar system.
